Who we are
ImmiLaw.VN is a privately operated immigration consultancy and document-preparation service. We are not an official website of the Government of Vietnam, the Vietnam Immigration Department, or any other governmental authority. This Privacy & Policy explains how we collect, use, store and protect your personal data when you use our website, client portal and services.
Data we collect
Account data (full name, email address, phone number); application data you enter in our forms (passport details, nationality, travel dates, addresses, business information); documents you upload (passport scans, photos, supporting letters); technical data (IP address, browser type, pages visited); and correspondence, including AI assistant conversations, which are stored to provide chat history and improve service quality.
How we use your data
To create and manage your account; to prepare, review, lodge and track immigration applications; to verify your email address and secure your account; to send transactional notifications (verification codes, sign-in alerts, application status updates); to operate the ImmiLaw Assist AI pre-check and chat; and to meet our legal and record-keeping obligations. We do not use your data for advertising, and we never sell personal data.
Legal basis
We process personal data with your consent and as necessary to perform the services you request, in accordance with applicable Vietnamese law, including Decree 13/2023/ND-CP on Personal Data Protection (PDPD). Where processing is based on consent, you may withdraw it at any time by contacting us.
Sharing and processors
Your data is shared only where necessary: with competent Vietnamese authorities as part of applications you instruct us to lodge; with vetted service providers who operate our infrastructure (hosting, email delivery, AI processing) under confidentiality obligations; and where required by law. We do not share your data with third parties for their own marketing.
Data retention
Account and application records are retained for the duration of your engagement with us and as required by applicable law. Chat history and uploaded documents can be deleted on request. Verification codes expire automatically within 30 minutes.
Security
We apply industry-standard safeguards: encrypted transport (HTTPS), hashed passwords (bcrypt), short-lived authentication tokens, access controls limiting data to authorized consultants, and rate limiting on authentication endpoints. No method of transmission is 100% secure; if you suspect unauthorized access, contact us immediately.
Your rights
You may request access to, correction of, or deletion of your personal data; restrict or object to certain processing; and withdraw consent. To exercise any right, email info@immilaw-vn.com. We respond to verified requests within a reasonable timeframe as required by law.
Cookies
We use strictly necessary cookies for authentication (secure, httpOnly session tokens) and local storage for interface preferences such as your chat session. We do not use third-party advertising trackers.
International transfers
Some service providers may process data outside Vietnam. Where this occurs, we ensure appropriate safeguards consistent with the PDPD and require equivalent protection from our processors.
Changes to this policy
We may update this Privacy & Policy from time to time. Material changes will be announced on this page with an updated revision date. Continued use of the website after changes take effect constitutes acceptance.
